To provide secretarial support to the Project Manager & project team for the assigned project.
JOB RESPONSIBILITIES:
· Maintains office filing system by ensuring that all office files are kept up to date and in order, including archiving. Photocopies & distributes all documentation and correspondence. Collects and sends weekly timesheets within the specified deadline.
· Provides backup for other Project Secretaries.
· Accurately and neatly produces company correspondence by word processing of all internal memos and external letters to customers and records on ongoing customer correspondence – Microsoft Access where required
· To set-up and manage a correspondence tracking list ensuring all historical records are registered and readily available for review.
· Faxes and couriers or sends by mail letters to customers.
· Provides courteous customer interface by answering phones and greets customers and other visitors.
· Assist Project Manager in updating CDRL/Milestone & Support Activity charts & graphs for monthly presentation report, coordinates with Project Manager the preparation and timely computation of weekly and monthly reports to Department Head.
· Provides assistance on Project activities as required (e.g. shipping, tracking, expedite shipments internally)
· Works closely with and assists Project Management Team - Project Manager, Project Engineer, Project Planner, Project Systems Engineer.
MISCELLANEOUS TASKS/ACTIVITIES
· Keeping track of amount of office supplies. Prepares purchase requisitions for supplies and ordering. Also, orders project related purchase requisition items when required.
· Arrange meetings (schedule, notification and catering).
· Makes travel arrangements for all staff travelling to project sites.
SKILLS AND EXPERIENCE:
· The successful candidate will have a Grade 12 education, plus two to three years relevant experience or equivalent.
· Good oral and written communication skills (written and spoken) in English.
· Computer skills – MS Office suite (Word, Excell, PowerPoint, Access), Lotus Notes
· Incumbent must have ability to handle peak loads and prioritize workload.
· Self-starter.
